Creating a Single Rental

There are different types of rentals your company may need to set up. You may choose to have a one off type of rental or a series of rentals. Here is how you can set up a single rental:

Single Rental

  • Click on the Calendar icon
  • Find the day, time, and resource that the rental will occur on and click your mouse so that your list of event types appear. Select Rental.
  • Type in the name of your Rental in the Description field. An example would be a Customers name or a Team name.
  • The Facility, Resource, Sub Resource, Time, and Date will automatically be filled out. If you need to alter this info for your needs, you can do this.
  • Since this will be a one time rental, you can leave the Repeat box unchecked.
  • All rentals require a customer to be attached. Start typing the name of an existing customer or if you already know their customer ID you can type it in the box.
  • Once the customer name appears, you can select it. If you would like this rental to appear in DASH Online, you can check the Publish On-line box. If not, leave it unchecked.
  • Next, press the SAVE button.

Attaching an Invoice

In most cases, you will want to attach an invoice to your rental so your staff can see both at the customer profile page and at the event page, whether it has been paid. Once your Rental has been created, you have the option to use an existing rate (if a Rate Structure is assigned to the current Resource), create a new invoice from scratch or search from an existing invoice that the customer has already been paid for from their list of invoices.

Creating a New Invoice From Rate Structure

  • To create a new Invoice, once you click the *Rate to add the product to the Shopping Cart. 
  • Once you have accepted payment, you will be asked if you want to attach the new invoice to the rental. Click the Invoice Rental Button. 

*Rate Structures need to be enabled on this Resource for rate options to appear.

Creating a New Invoice From Cash Register

  • To create a new Invoice, once you click the "Select from Cash Register" option, you are brought to the Cash Register/Point of Sale page to ring up your rental and proceed to check out your customer.
  • Once you have accepted payment, you will be asked if you want to attach the new invoice to the rental. Click the Invoice Rental Button. 
  • Once you click the Invoice Rental button you will be brought back to the Rental screen and the invoice will be automatically assigned to the rental.

Attaching Existing Invoice to Rental

  • To add an existing invoice where the customer has already paid for their rental, click the "Existing Invoice" option for the rental Event.
  • A box will appear where you can type in the invoice number if you know it or you can click on "Search Invoices" to find it.
  • After pressing "Search Invoices", you can search for your customer on the new page, and once you are on their profile, click Invoices to display their list of Invoices.
  • Select the Invoice for the Rental. Then Copy (Ctrl C) the Invoice number and Paste (Ctrl V) it into the Invoice # field on the event.
